Linen and towels may be the most visible recurring purchases, but a functional hotel room depends on many more products. Amenities, electrical equipment, safes, minibars, accessories and furniture must work together, survive daily use and remain easy to maintain.
Amenities: format and replenishment
Choose miniatures, refillable dispensers or a hybrid. Miniatures offer an individual presentation but increase packaging and per-stay handling. Dispensers can simplify replenishment, while accessory kits remain available on request.
Confirm product volume, formulation, packaging, label languages, branding minimums, refill sizes and bracket compatibility. Housekeeping should test the system. A dispenser that looks good but is slow to refill or difficult to clean becomes an operational cost.
Hairdryers and kettles
Confirm voltage, wattage, plug type, cable length, automatic shut-off and applicable conformity documents. For hairdryers, compare handheld and wall-mounted models, airflow, heat settings and cleaning. For kettles, check capacity, concealed elements, dry-boil protection and base stability.
Ask how warranty replacements work. Standardising one model across a group simplifies maintenance and spare stock.
Minibars and safes
Evaluate minibars by dimensions, capacity, energy use, noise and ventilation requirements. Measure the furniture opening and confirm clearance.
For safes, check internal dimensions, laptop compatibility, locking method, emergency opening, audit functions and anchoring. The hotel must define who controls override access and how incidents are recorded.
Small room accessories
Hangers, bins, trays and luggage racks affect both presentation and workflow. Standardise finishes and dimensions where possible. Check whether bins sanitise easily, trays resist heat and moisture, hangers fit the wardrobe and luggage racks remain stable. Hold spare stock for items frequently damaged or removed.
Locks and access hardware
RFID locks are project products, not ordinary catalogue purchases. Confirm door construction, dimensions, integration, card technology, power, emergency access, installation and after-sales support. Never approve access hardware from a photograph and unit price alone.
Housekeeping equipment
Trolleys, laundry bags, vacuums and cleaning accessories should match corridor widths, lifts, stores and daily room counts. Ask housekeeping supervisors to review layouts and consumable storage before ordering.
Beds and furniture
For mattresses, define dimensions, construction, firmness, fire-performance requirements and intended use. For bed bases, headboards, tables, desks, chairs and lobby pieces, confirm materials, finishes, tolerances, packaging, assembly and installation.
Finalise site measurements before production. Check access routes too: a piece may fit the room but not the lift or stairwell.
Create a room standard
For every room type, record the approved product, model, finish, supplier code, quantity and replacement rule. Add photographs and technical sheets. This room-standard document supports procurement, housekeeping, maintenance and future renovations while making quotations more accurate.
